OFFICIAL NOTICE

January 7, 2012

Hillsborough Homeowners:

The 2012 Annual meeting of the Hillsborough Homeowner’s Association will be held Monday, January 30th, 2012, 7:00 PM – 9:00 PM at the Fishers Town Hall Auditorium.  This serves as your official notice for that meeting.  Included in this mailing are the Agenda and the Proxy form should you choose to designate a voting representative on your behalf.  The financials will be reviewed during the meeting. In order to conduct business for the Association a quorum of 30% is needed, so we encourage you to attend the annual meeting.

This meeting is your opportunity to become involved in our community and have your voice heard regarding items such as expenditure of funds, types of functions you’d like to see and election of board members.  The meeting is also an opportunity to provide input on issues that you would like to see addressed in order to maintain the integrity of our subdivision.

We will be discussing possible improvement projects for 2010 such as common area irrigation, improvements to entry-way landscape, and mailboxes.  Please bring your ideas as well.

2011 Mulch Day!

This year’s mulch day is April 30th! We’ll be starting bright and early at 7am, but feel free to show up whenever you can make it! We need all the help we can get. The more hands, the faster it goes!

HHOA Board Meeting – March

MINUTES OF MEETING OF Hillsborough Home Owners Association
HELD AT CR Heroes ON Tuesday, March 15th, 2011 at 7pm.

PRESENT: Jason Bruick (President)
Beverly Flick (Treasurer)
Michael McNeal (Secretary)
Michael Alyea (Member at Large)
Greg Huey (Member at Large)

ADOPTION OF MINUTES OF PREVIOUS MEETING:
No minutes to approve.

BUSINESS ARISING FROM THE MINUTES:
- n/a

FINANCIAL STATEMENTS
- Bev Flick filed all delinquent forms for the homeowners association. There may be penalties from prior failure to file. Bev submitted the YTD Financials. First installment of dues is 4/15 and second is 7/15. Greg Huey moved to accept the financials, Jason Bruick seconded, motion passed.

AGENDA
General Information:
- Jason Bruick informed the board that the date of irrigation installation in common areas is April.

New Business
- Motion brought to approve homeowners at 10349 Hillsborough Drive adding a deck, pending contractor confirmation that the deck meets city requirements. Moved by Mike Alyea, seconded by Jason Bruick, motion passed.

- Motion brought to approve the landscape maintenance agreement for $3,754.19. Jason Bruick moved, Mike Alyea seconded, motion passed.

- Motion brought to review $4,140 proposal for tree enhancements to the entrance. Moved by Bev Flick, Seconded by Jason Bruick, motion passed.

- Motion brought to set the date for the homeowner mulching and debris cleanup day to be on April 30th with May 14th as backup. Starts at 7am. Mulch expenses estimated $700, saving $1100 from last year. Moved by Greg Huey, Seconded by Mike Alyea, motion passed.

- Motion brought to have the Easter Egg hunt on April 23rd at 9am. Jason Bruick has the eggs. Bev Flick and Mike McNeal will put info on letters and web site respectively. Moved by Mike Alyea, Greg Huey seconded, motion passed.

- Motion was brought by homeowner to add a swing set to the common area. The board listed the following concerns: Insurance cost, liability, maintenance cost, common lot is intended to be open for multipurpose use. Moved by Mike Alyea, seconded by Jason Bruick, motion did not pass.

NEXT MEETING:
- Motion was brought for next meeting to be 7pm May 24th @ CR Heroes, Moved by Mike Alyea, seconded by Mike McNeal, motion passed.

CONCLUSION:
- Motion was brought to end the meeting at 8:30pm. Moved by Jason Bruick, seconded by Greg Huey, motion passed.

Mailbox interference

Please note the following from the US Postal Service:

“To whom it may concern, It has come to our attention that there are several mailboxes in your community being partially obstructed by tree limbs.”

So, please ensure that the area around your mailbox is free from interference so that the mail can easily be delivered.
