Board Meeting Minutes

Sept 19, 2007

Present: Brad Thurber, Janet Wiedman, Diane McLoughlin, John Molloy, Mary Seaborn

Agenda: Review/Approve Aug Minutes; Itemize Board Duties through year end; Prep for 2008 Annual Meeting; Discuss Entrance Lighting for the Holiday; Dues update/attorney; Fence Request; Cul-de-sac snow plowing; Fall Cookout; Website Training; Date/location for Oct meeting.

Minutes for August meeting were read and approved.

Discussed agenda through year end.  September – Cookout;  October – work on budget & documents for year end mailing and 2008 annual meeting; November – finalize preparations for annual meeting; December – Holiday lighting.

Prep for 2008 Annual Meeting – compose an informational letter and send out to all homeowners that will include the date and time of the meeting, a proposed annual budget for 2008, a meeting agenda, proxy forms and information regarding replacement of one board member.  Discussed items to be included in the budget in order to complete the Pergola area renovation.

Entrance lighting for the holiday – discussed power source at the entryway, Brad will look into a junction box for an outlet in that area.

Dues Discussion – talked about how to proceed with delinquent dues.  Treasurer will place a final courtesy call to the lot owner requesting payment – if no resolution the matter will be turned over to the association lawyer to pursue collection.

Fence Request – discussed a request for a fence from one property owner but the requst would place the fence within the easement area which the town will not approve.  A call will be placed to the homeowner to explain the decision.

Discussed snow plowing of the cul de sac this coming winter.  Currently the association does not pay for private plowing because the town of Fishers will come in and plow the main road of the subdivision after the town streets are done.  The cul de sacs will not get plowed until after all main subdivision roads are done.  The board concluded that an amount should be added to the budget to cover that item.  John Molloy offered to plow the cul de sac but a decision on who would be hired for that duty and how much it would cost was not made.

Fall Cookout – the date of Sept 29th was chosen for the cookout and it will be held at the Pergola area at 4:00 P.M.  Information will be placed on the website and John and Kathy Molloy will organize the event.  Flyers will be passed out around the neighborhood with information as well.

Website training – Brad held a training session on how to author or edit items for the HHA website.

Next meeting – the next HHA Board Meeting will be held Wed, Oct 17, 7:00 P.M. at Janet Wiedman’s house.
